FHSS Van

A step-by-step guide on reserving and using the FHSS van

Eligibility

To be eligible to use the van, drivers must be an employee of the College of Family, Home, & Social Sciences, have a current U.S. driver's license, be 18 years of age or older, abide by all applicable laws and BYU policies; and be proficient in driving skills.

Additionally, all drivers must follow these steps before scheduling the van:

  1. All drivers of the van are required to complete the “Driving BYU Vans and Vehicles Safely Course” in the Employee Training Portal on MyBYU.edu. If the link doesn’t work,

    1. log into your account MyBYU.edu,
    2. click Add Links,“Employee Training Portal”
    3. in the search bar look up “Employee Training Portal”,
    4. within that, search for “Driving BYU Vans and Vehicles Safely Course”.
  2. Print a driver's licensed-size (3x4 inches) Driving Certificate and sign it with your supervisor.
  3. Print the “Van Use Restrictions” form, and have your supervisor sign it.
  4. Bring the printed and signed "Driving BYU Vans and Vehicles Safety Course" and "Van Use Restrictions" forms to Amy Lilly in KMBL 386 (amy_lilly@byu.edu).

Please read the information in the tabs below explaining how to schedule, use, and return the van.

  • Scheduling the van

    Note that the van must be scheduled at least one day in advance.

    To schedule and check out the van, visit the Book the Van page, go to KMBL 382 Front Desk, call (801) 422-8125, or email fhsscomputing@byu.edu.

  • BEFORE VEHICLE OPERATION

    • Come to KMBL 382 at the scheduled time to pick up the keys and the checkout form.
    • The van is located in the JFSB parking garage, level P2, in the northeast corner of the parking level (see photo below).
    • Note the beginning mileage on the checkout card.
      • Please remember to keep the clipboard with the keys provided to you from the front desk until you have finished using the van.
    • Set the mirrors for optimal safety.
    • Familiarize yourself with the controls while parked so that you don't have to fumble with them while driving.
    • Ensure that all occupants properly wear seatbelts.

    BYU'S DURING VEHICLE OPERATION POLICY

    • Obey all traffic laws.
    • Comply with all instructions given in training videos.
    • If you need to unload equipment on the BYU campus, you are allowed to park in a designated service stall for up to 30 minutes, but once unloaded, the van must be parked again in its designated parking spot.

    DRIVER SAFETY
    While operating University Vehicles, Authorized Drivers must act safely, including by

    • ensuring that each Vehicle occupant is secured by a Vehicle safety restraint;
    • operating the Vehicle with due care;
    • avoiding distraction (e.g., no eating or wearing earbuds);
    • not using any handheld electronic device, such as a cell phone, unless the law allows Drivers to operate navigation applications or hands-free cell phones;
    • using a spotter to guide backing up when traveling with a passenger (see the Driving a BYU Vehicle course for spotter training); and
    • rotating Drivers every four hours, if possible.

    PASSENGER SAFETY
    While University Vehicles are being operated, passengers must act safely, including by

    • ensuring that they are secured by Vehicle safety restraints;
    • behaving in a manner that provides a calm, non-distracting environment for the Driver; and
    • assisting with spotting (see the Driving a BYU Vehicle course for spotter training).

    BYU'S PRECAUTIONS WHILE VEHICLE IS NOT IN OPERATION POLICY

    Drivers and passengers must ensure that parked University Vehicles are locked and that the key remains with the Driver. Vehicle contents must be secured out of sight. Drivers and passengers who choose to store personal property in University Vehicles do so at their own risk.

    DRIVER CITATIONS
    Drivers are personally responsible for paying any traffic or parking citations they receive while operating University Vehicles.

  • ONCE YOU ARE DONE USING THE VAN

    1. It must be parked in the designated parking spot "FHSS College Vehicle CF1 Only".
      1. If another vehicle is parked in the designated spot, take a picture of its license plate, park the FHSS van at the service parking lot near KMBL, take a picture of the parking spot, and report providing pictures to the front desk at KMBL 382.
    2. While you are in the van, note the odometer mileage and fuel level on the "FHSS Van (CFI) Checkout Form" provided at the front desk.
    3. Return the keys and the completed checkout form to the front desk at KMBL 382.
      1. If no staff member is at the front desk, contact Amy Lilly (amy_lilly@byu.edu) or Tom Pittman (tom.pittman@byu.edu).

  • Van Specifications

    The college van is a Toyota Sienna 2012 featuring an automatic transmission and five doors. The van comes with seating for eight passengers. The cargo space behind the third row is typically around 39 cubic feet. However, this space can expand to over 150 cubic feet with the third-row seats folded down.

    SAFETY REGULATIONS

    In the trunk, you'll find jumper cables and a spare tire, which should remain there after use. Before and after using the van, please check for any exterior and interior damage, ensuring that the tires are properly inflated.

    IN CASE OF AN ACCIDENT

    Follow these steps:

    1. Check yourself and your passengers for injuries.
    2. Call 911 to report accidents and injuries!
      1. Accident on campus? Call BYU police (801) 422-0911
    3. Turn off the engine and turn on the car hazard lights. Do not leave the scene.
    4. Exchange information with the other driver:
      1. License plate number, phone number, insurance company and policy number, etc.
    5. Document the accident:
      1. Take pictures, mental & written notes, etc. about what happened
    6. Write down witness names and phone numbers.
    7. Immediately contact your supervisor to report the accident and all details.
    8. Complete the online auto accident report form at incident.byu.edu/forms.
